This guide will help you quickly access and manage the information in the Guest File. Use the filters available at the top of the page to view only the relevant documents, such as company, customer name, period, payment type and status. The data will be displayed in an organized table with detailed information about documents and payments. Change due dates, access bookings and confirm payments directly from the interface.
The issued invoices are already accounted for, but this method of confirming payment in the system for these invoices will provide you with a confirmation that the payments have been made according to the due date (e.g. if you do not find the amount in the account, you can contact the buyer to check the situation). This confirmation in the system does not affect the accounting. The due date is set in Property Settings, Invoices subsection.
- Navigate to Menu
- Open the Guest File section.
Access the Guest File
- Use the filters at the top to display only the desired documents:
- Company
- Client Name
- Period
- Payment Type
- Status
- The information will be visible in the table with the following structure:
- Item No.
- Doc. No.
- Issue Date
- Due Date
- Type
- Res. ID
- Name
- Amount
- Payment Made
- Payment Date
- Click on the due date to modify it. Overdue dates are displayed in red.
- The information will be visible in the table with the following structure:
- Click on the due date to modify it. Overdue dates are displayed in red.
- Click on the reservation ID to access it.
- Click on Confirm Payment to confirm the payment of an invoice via bank transfer.
