Advance Billing
- Advances represent sums of money paid before providing accommodation services or renting event spaces.
- Any sum collected before the provision of the accommodation service is invoiced as an advance, and the final invoice will be issued at the provision of the service.
- The final invoice will always be composed of the advance service, indicated with a minus, and the provided service, marked with a plus. If the amount of the advance is equal to the value of the service provided, the final invoice will have a value of 0.
Adding an Advance
To add an advance, we have two options:
1.Adding an Advance in Reservation
- Access a reservation and press the Advance button.
- Enter the value of the advance and press the Generate button. The advance has been added, and we can see it in the Financial field, marked in red.
- Press Folio and see the proforma invoice issued for the advance in the Proformas field.
- Press Actions next to the proforma invoice to get to the dedicated menu for them, Proformas. The actions that can be done here are detailed in the Proforma manual.
2.Add Advance in Balance/Virtual Room
- Press Edit next to the desired balance. Press the plus button next to Add Advance to add an advance and fill in the information.
- Advance Name. Fill in the name of the advance. Advance Value. Fill in the value of the advance.
- VAT Rate. Choose the VAT rate of the advance. Choose if the billing is to be made to an individual or a legal person and use the options to select them.
- Press Add to finalize adding the advance.
The proforma for the advance has been added and is found in the Proformas section. Press Actions next to the proforma invoice for more options.
