Guests

This guide will help you manage guests in the system efficiently. You can view the list of guests and apply filters to quickly search for the desired guest, such as name, phone number, or blacklist status. Additionally, you can edit a guest's profile, add custom preferences, or permanently delete a profile.

 

  1. Navigate to the Menu 
  2. Open the Guest section
     

❗In order to send invoices to SPV (ANAF), the client's profile must include the complete address (county, locality, and address, or for clients from Bucharest, the sector)..
 

View the Guest List

The system will display a list of all guests, sorted by the order in which they were entered into the system, or you can set the order of the displayed results.
📌 Note: You can display based on (Entry Date, Star Rating, Number of Nights, Restaurant Discount).
 

Search for a Guest

  1. Use the available filters to find the desired guest.
    📌 Note: You can apply the following filters (First Name, Last Name, Phone Number, ID Number, Status-Blacklist, ID).
  2. The system will display the search results.
    📌 Note: If you wish to cancel the applied filters, press the Clear Filters button.
     

Edit a Guest Profile

  1. Search for the guest you want to edit.
  2. Press the Edit button on the right to modify the guest's profile.
  3. Press the pencil icon to add information.
    📌 Note: From here, you can also view the Preferences, History, and Services sections. You can also use the Add Guest Preferences, add the guest to the Blacklist, or Delete Guest functions from this section.
  4. Press the Add Preferences button to add preferences for the guest.
    📌 Note: Create unique experiences by adding guest preferences regarding rooms, meals, etc. These preferences will be available when accessing the guest's details.
  5. Press Blacklist to mark the guest as blacklisted.
    📌 Note: Use the Blacklist function to keep track of difficult situations with certain guests.
    If a guest on the blacklist makes a reservation at your property, their profile will indicate that they are on the blacklist, but the reservation will still be valid.
    Filter the guest list by status to see all guests on the Blacklist.
    To remove a guest from the blacklist, press the green pencil icon again and click Remove from Blacklist.
  6. Press the Delete Client button to permanently delete the guest's data from the system.
    📌 Note: Using this method, the guest will not be notified that their data has been deleted from the system.
     

Apply Restaurant Discount

  1. Press the Restaurant Discount button to offer the guest a percentage discount on any consumption at the restaurant.
  2. Select a percentage from the predefined list.
     

Download Guest Data

  1. Press the Download Clients button to download an Excel file with the data of all guests.
    📌 Note: This function is available only for users with admin roles and full GDPR access.

    Next to the Download Clients button, the date and time of the last data download are displayed to provide users with better data management.
     

Delete Data

  1. Press the Mail Deletion button to send an email to the guest.
  2. This email will allow the guest to permanently delete their personal data from the system.
    📌 Note: If the guest does not have a completed email address in their profile, this option is not available.
     

Scan Guest Documents

📌 Note: This functionality is available upon request and may involve additional costs. For more details, open a ticket in the Support Center.

  1. Select a guest and press Edit.
  2. Use the Scan ID and Scan Passport buttons to scan the guest's documents.
