Reservations Calendar

This guide will help you understand how to manage the Reservation Calendar in your Property Management System (PMS).

  1. Navigate to the Menu
  2. Open the Reservation Calendar section or click on the calendar icon available in the top left corner.
     

📌 Note:The grid features a vertical axis for room numbers and types, and a horizontal axis for dates. Each cell in the grid represents a specific day, providing a complete view of availability and bookings for each day.

  • Use the date filter at the top to select the start day of the calendar.
  • Click the Today button to bring the calendar to the current date.
  • By default, the system displays the calendar for 15 days.
  • Use the buttons at the top to view the calendar for 7, 15, or 30 days.
  • Bookings are displayed as colored bars, blocking the room from the Check-In date to the Check-Out date.
     

Add Reservation

  1. Click Add Booking to create a new booking in the system, or drag your mouse on the calendar from the start date to the end date for the desired room.

Block a Room

  1. Click the Block button (lock icon) to block rooms in the system. Blocking a room is useful when it cannot be occupied due to various reasons, such as technical issues.

Rooms

The first column of the calendar lists all the rooms in the system, grouped by room types. Along with the room name, additional information about the room is also displayed.

  • Balcony: The system displays "BL" if the room includes a balcony. More information about configuring a room can be found [here].
  • Room View: The system displays the code for the room's view. These codes are fully customizable. More information about room views can be found [here].
  • Room Status: The system shows a green-colored leaf if the room is clean or a yellow-colored leaf if the room is dirty.

 

Availability

The line corresponding to each room type displays the availability of rooms for that type. Availability is automatically updated whenever a booking is added or removed in the system.

At the bottom of the calendar, the following rows are displayed:

  • Unallocated Bookings: Shows the number of bookings without a room allocated for the selected period. The system displays red-striped shading on the calendar for bookings without room allocations.
    Shading is also shown when a booking enters the system for which availability existed, but reallocations of existing bookings are needed to ensure the new booking has continuity in a single room.
    Note: The system will not accept bookings if it does not detect that reallocations can accommodate the new booking.
  • Allocations: Displays the number of rooms allocated to reseller agencies.
  • Occupancy Percentage (%): Shows the daily occupancy rate.
  • Available Rooms: Displays the total unit availability.
     

Legend

At the bottom of the calendar, below the last room line, there is a color legend for bookings:

  1. Check Out: Represents the reservations for which the Check Out has been performed.
  2. Departures today: Represents the reservations for which the Check Out is to be performed.
  3. In-house: Represents the reservations for which the Check-In has been performed.
  4. Arrivals today: Represents the reservations for which the Check-In is to be performed today.
  5. Confirmed reservation: Represents the reservations added to the system with confirmed presentation status.
  6. Reservation request: Represents the reservations added to the system with unconfirmed presentation status.
  7. Protocol: Represents the reservations in protocol status.
  8. Blocked room: This represents the period in which the room is blocked.

📌 Note: Colors are preset for maximum clarity and cannot be customized.
 

Multiproperty Calendar

📌 Note: For units with multiple properties, if property filters are not used, the calendar area will be shared. Rooms will be displayed in the calendar in their default order, starting with the main property or as defined in the plan, maintaining a distinction between properties.

Apply Property Filter

  1. Go to the More Options button (with three dots) on the right side.
  2. Select the property for which you want to display results.
  3. Click Filter.
