This guide helps you understand how to use passport scanners and the Passport Scan application to speed up the check-in process. You will find the necessary steps for setting up the application, activating the module in the PMS system, and using it to automatically import customer data. By following the detailed instructions, you will save time and simplify reservation management.

Passportscan.net is an application that significantly speeds up the check-in process. It can automatically read identification data from passports and input it into the PMS system, reducing the time required for manually entering data into the system.

To use this application, follow these steps:

1. Access Passportscan and create a user account: https://workspace.passportscan.net/login.
2. Click Create an Account and enter the required information.
3. Download the Passport Scan app from the app store corresponding to your device (e.g., App Store for iOS devices or Google Play Store for Android devices).
4. Install the app on your device.
5. Open a ticket in the PMS and request the activation of the Passport Scan module.
   ❗ The activation of the module involves an additional cost in PynBooking.
6. Once you receive confirmation of the activation, add the necessary information in the PMS:
7. Navigate to Menu > Property Settings > Passport Scan. Add the Public Key, Access Token, and Token Expiration information provided by the Passport Scan partner. These details can be found in your Passport Scan account.

How to Use

1. Access a reservation with the check-in date on the current day. From the reservation screen, click the Activate Passport Scan button.
2. Open the Passport Scan app. Click the magnifying glass button and search for reservations for the current day.
   📌 Note: If Passport Scan is not activated in the reservation, it will not appear in the app.
3. Click on the reservation you want to check in. Click View next to the guest’s name, and in the new screen that opens, click the Scan button.
4. After scanning the document, click Proceed > Finish.
5. Go to the PMS and click the Import Passport Scan button. The customer’s data has been imported into their profile.

Add a New Guest

1. Access Passport Scan and click the Add Guest button.
2. Scan the customer’s document and click Proceed > Finish.
3. Go to the PMS and click the Import Passport Scan button. The guest has been added.

❗ The Passport Scan service can be tested for free, but after the trial period, it involves a cost. Credits can be purchased from the Passport Scan console, with prices starting at €8 for 100 check-ins.
