Payment Methods

This guide will help you set up the available payment methods for your bookings, so you can offer your guests flexible and secure options. Complete each section on this page to customize your payment settings, including options for cash, card, online payment, bank transfer, and vacation cards. Make sure to select the correct currencies, card types, and conditions for deposits or full payments, so the booking process is as simple and clear as possible for your guests. Offer as many payment options as possible to avoid situations where a guest might not make a booking due to technical issues.

  1. Navigate to Menu > Booking Engine 
  2. From the menu displayed on the left, open the Payment Methods section
     

Set up available payment methods for bookings

  1. Complete each section on this page.

Cash

Choose the currencies in which you will accept cash payments at your property. These currencies will be displayed in the booking engine. You can choose from:

  • RON
  • EUR
     

Card Payment

Check the Preauthorization option to require the guest to enter their card details for flexible and guaranteed bookings made through the booking engine. Later, you can use these card details to withdraw funds from the guest's card.

If you do not check this option, bookings will be made without card details.

Online Payment

Choose the payment processor you work with to provide the guest with online card payment for non-refundable bookings made through the booking engine.

For flexible and guaranteed bookings, the system will not require online card payment. For these, you can use card preauthorization.

Accepted Bank Cards

Check the types of bank cards accepted for payment at your hotel.
 

Non-refundable

Choose how much the advance payment the guest is required to pay for non-refundable bookings should be.

  • Percentage of the stay value: Enter the desired percentage.
  • Number of nights from the stay: Enter how many nights from the total stay should represent the advance.

If the booking has fewer nights than the number you entered, the advance will represent the full value of the stay.
 

Bank Transfer

Check if your hotel accepts payment of an advance or full payment via bank transfer.

Set the minimum number of days for the transfer before Check-In. This payment method will appear available for bookings with a check-in date that fits within the set number of days. Example: If you set a minimum of 5 days for the transfer before Check-In, and the guest selects a Check-In date at least 5 days in advance, this payment method will appear available.

Choose how much the advance the guest is required to pay if the minimum number of days condition is met.

  • Percentage of the stay value: Enter the desired percentage.
  • Number of nights from the stay: Enter how many nights from the total stay should represent the advance.

If the booking has fewer nights than the number you entered, the advance will represent the full value of the stay.

The guest will automatically receive a proforma invoice via email, with the value calculated according to the previously set conditions. You can include more information about the payment term both in the Terms and Conditions section of the Unit Policy and in the automated email for the Proforma Invoice.

📌 Note: If the guest selects the Bank Transfer payment method, even if they chose a Non-refundable rate, they will not be required to pay when the booking is created. Instead, they are responsible for paying the advance within the agreed timeframe.
 

Vacation Card

Check if your hotel accepts payment with vacation cards/vouchers.

If you check this option, the booking will be entered into the system without a payment amount when the reservation is made.
 

After completing all the information, save your changes!
