Who they are

Vox Maris Grand Resort is a large-scale resort in Costinesti, with 350 accommodation spots, two restaurants, bars, swimming pools, bowling, fitness center and conference spaces. It is the kind of property where operational complexity grows exponentially with each added facility — and where an outdated IT system quickly becomes an anchor.

Before Pynbooking, the resort used software installed on a local server that could no longer keep up with operational realities. There was no integration with online booking platforms, no mobile access to data and each department operated in its own silo.

The challenge

Managing a resort with 350 spots and multiple profit centers is a major logistical challenge even with the best tools. Without them, it becomes a daily struggle. The front desk was congested during peak periods, information flowed slowly between departments, and management could only access reports from the office computers.

The absence of integration with online platforms meant that a significant portion of the market was simply inaccessible. Tourists who book online — a continuously growing segment — could not reach Vox Maris except through intermediaries or by phone.

We had local server software that couldn't keep up anymore. We couldn't access anything from our phones, had no connection to booking platforms and every season was a logistical challenge.

The solution

The Pynbooking implementation at Vox Maris was one of the most complex, due to the diversity of facilities and volume of operations:

Cloud PMS — The entire resort operation was centralized in a single system accessible from any device. From front desk to management, from restaurants to conferences, all departments work in the same platform.

Channel Manager — Vox Maris became visible on online booking platforms, with availability and rates synchronized automatically. The resort went from zero direct online presence to active distribution across multiple channels.

Booking Engine on voxmaris.ro — The official resort website received an integrated booking engine, giving guests the ability to book and pay directly, without commissions to intermediaries.

Restaurant POS with tablets — The two restaurants and bars were equipped with a tablet-based POS system. Waiters take orders directly on mobile devices, and the order reaches the kitchen instantly. No handwritten receipts, no unnecessary trips.

GuestApp with registration card signing — Guests can sign the registration card directly on their mobile phone via the GuestApp, which decongests the front desk and speeds up the check-in process.

The results

The first thing the team noticed was at the front desk. The check-in process, which during peak season generated queues and frustration, became significantly faster thanks to digital signing of the registration card. Guests no longer wait in line to fill out paper forms.

The front desk is less congested, new employees adapt quickly, and I can see reports from my phone wherever I am.

Mobile access to reports changed the management dynamic. Directors and managers can monitor occupancy, revenue and operations in real time, from their phone, without being physically present at the resort. During the season, when decisions need to be made quickly, this visibility is critical.

A surprising aspect was the speed at which new employees adapted. In a seasonal resort, staff turnover is a reality. With Pynbooking, training time was considerably reduced — the intuitive interface allows new employees to become productive much faster than with the previous system.

The restaurant integration with tablet POS eliminated order-taking errors and accelerated service. In a resort with hundreds of guests dining simultaneously, every minute counts.
