Villa Ermitage is a family-run guesthouse in Busteni, with 12 accommodation units. It is the type of business where the owners do everything: from cleaning to marketing, from welcoming guests to accounting. When you're a small family business, every tool must justify its existence through concrete results.
Before Pynbooking, Villa Ermitage managed reservations in Excel. A spreadsheet with dates, names and rooms that inevitably led to problems.
The challenge
Overbooking was a frequent problem. When you manage 12 accommodation units across multiple platforms and all you have is an Excel file, overlaps are inevitable. A reservation comes in on Booking.com, another by phone, a third on AirBNB — and by the time you manually update availability everywhere, the room has been sold twice.
Every overbooking means an embarrassing situation with guests, a likely negative review and lost money. For a family business that depends on reputation, the impact is disproportionately large.
We worked in Excel and lived in fear of overbooking. Every weekend we checked three times if everything was in order, and surprises still came up.
The solution

Website with Booking Engine — The guesthouse received a website with an integrated booking engine that allows guests to book directly, without intermediaries. A booking button was added to the Facebook page that links directly to the Booking Engine.
Datecs cash register integration — Fiscal receipts are issued automatically from the system, through the Datecs cash register connected to Pynbooking. No manual entry, no errors.
Dynamic rate adjustment — The owners can adjust rates based on demand, season and occupancy, and the changes propagate instantly across all 9 platforms.
The results
The most spectacular result was tripling direct bookings in the first 12 months after implementation. The own website, combined with the booking button on Facebook and visibility on 9 platforms, created a booking flow that Villa Ermitage had never had before.
In 12 months we tripled our direct bookings. And since we have the Channel Manager, we haven't had a single overbooking case.
Eliminating overbooking was equally important. From frequent and stressful incidents, Villa Ermitage reached zero overlaps. Real-time synchronization across 9 platforms works flawlessly — the owners no longer manually check availability and no longer live in fear that a room has been sold twice.
